Digital equipment passports for records and after-sales coordination
An equipment passport connects a machine identifier with its equipment file and lifecycle history. LUNA uses this approach to help factory teams, suppliers and service engineers work from the same equipment reference when preparing handover records and following up service work.

Discuss your requirementsDefine the deliverables
- A device identifier and QR entry associated with the equipment file.
- An agreed structure for equipment information, documents and lifecycle records.
- Service orders and service records linked to the equipment for after-sales follow-up.
- An agreed access scope for the customer, supplier and service team.
What to prepare for an enquiry
- List the machines, models, serial numbers and existing asset identifiers.
- Collect manuals, drawings, acceptance documents and the service history you may share.
- Identify who owns the records, who may read them and who may update them.
- Choose a small pilot and define the required handover and service-record fields.
How a project moves forward
- Review the current equipment records and the intended users.
- Agree on the pilot equipment, record fields and access rules.
- Create and review the equipment files and identifiers.
- Use the records in handover and service follow-up, then review the gaps.
Questions before you start
Is an equipment passport the same as a maintenance system?
The passport centers on equipment identity and linked records. Discuss your work-order, maintenance planning and reporting requirements separately before deciding whether the available workflow fits.
Are all equipment documents public when a QR code is scanned?
Public scan information and authenticated records have different access scopes. Agree on the fields to disclose and the roles allowed to access documents before adding business records.
Does the passport certify regulatory compliance?
Equipment records do not themselves certify product compliance. If you need an EU Digital Product Passport or another regulated format, its applicable requirements and the system fit must be assessed separately.
Pilot scope, data access, migration, integrations and commercial terms are agreed before rollout. Do not publish confidential drawings or customer records as marketing content.
